Adding Users

A user who has all or some user information, whatever its source, stored in the FlexNet Manager for Engineering Applications database is a FlexNet Manager for Engineering Applications user. FlexNet Manager for Engineering Applications users appear in the** Users **page.

Information for a FlexNet Manager for Engineering Applications user can be typed manually into FlexNet Manager for Engineering Applications or imported from an LDAP directory service, if access to a directory service is configured. Users entered manually into FlexNet Manager for Engineering Applications are users in the FlexNet Manager for Engineering Applications domain. If no domain is shown, the user is in the FlexNet Manager for Engineering Applications domain. Authentication information for a user in the FlexNet Manager for Engineering Applications domain is stored in the FlexNet Manager for Engineering Applications database. FlexNet Manager for Engineering Applications users imported from a directory service are users in that directory service domain. Authentication information for a user in a directory service domain is stored in the directory service.

To perform tasks using FlexNet Manager for Engineering Applications, a user needs one or more permissions that are defined by FlexNet Manager for Engineering Applications. Permissions are not assigned to users directly; permissions are grouped into roles and FlexNet Manager for Engineering Applications users are assigned one or more roles.

Users assigned a role with the View and Manage Users permission can view, add, and edit users.

To add a user to the FlexNet Manager for Engineering Applications domain:

  1. From the Admin tab, under Users , click Create User .
  2. If domains other than the FlexNet Manager for Engineering Applications domain are configured, select the FlexNet domain. If no domain is shown, the user is in the FlexNet Manager for Engineering Applications domain. Click Next .
  3. In the User Details** **page, provide (at minimum) the required information.
    • Enter the User Name (required). This becomes the user’s name for signing in to FlexNet Manager for Engineering Applications.
    • Enter the First Name and Last Name of the user (required).
    • Enter the Email Address of the user (required). If this is a shared user, specify the email address of a FlexNet application administrator in this field.
    • Enter the user’s Phone Number and Fax Number (optional).
    • Enter the user’s address information.
    • Select the user’s preferred Time Zone. This time zone setting is used when displaying a date or time to the user.
    • Leave the Status of the new user Active.
    • If this user name is intended to be shared among multiple users, select the Shared Login check box.
    • Assign at least one role to the user.
  4. Click Finish . When the new non-shared user in the FlexNet Manager for Engineering Applications domain is saved, an email containing a system-generated password and login instructions is sent to the user’s email address. The first time the user logs in, he logs in with the system-generated password, then is immediately prompted to change his password. After his password is successfully changed, the user is logged in.
    • When a new shared user in the FlexNet Manager for Engineering Applications domain is saved, the email containing a system-generated password is sent to a FlexNet Manager for Engineering Applications administrator (if you specified the administrator’s email address). The administrator should log in to FlexNet Manager for Engineering Applications with the system-generated password, then change the password and keep a record of it. The administrator must send this new password to all users of the shared login.

To add a user from a directory service domain:

  1. From the Admin tab, under Users , click Create User to display the** ** Add User page.
  2. Select one of the directory service domains that contains the information to authenticate this user. Click Next .
  3. Search for and select one or more users to import from the directory service. Select multiple users only if you plan to assign them all the same roles. Only a small amount of user information will be imported from the directory service to the FlexNet Manager for Engineering Applications database; user authentication is done by contacting the directory service. Click Next .
  4. The user to be imported is displayed. Leave the Status of the new user Active. Assign at least one role to the user.
  5. Click Finish .
    • When the new user is saved, they can log in to FlexNet Manager for Engineering Applications using the user name and password stored in the directory service.
  6. Verify in the Users page that the user was added.
